Conference Participation Terms
These terms explain the conditions that apply to registration and participation in the 8th International Congress on Enterprise AI & Digital Transformation (ECEAIDT 2027), 27–29 January 2027 in Singapore.
1. Scope
These Participation Terms apply to delegates, speakers, presenters, exhibitors, sponsors, accompanying persons and other registered participants attending ECEAIDT 2027.
2. Registration
Registration is subject to completion of the required registration process and payment of the applicable fee. A registration is normally treated as confirmed after payment has been successfully received, unless the organising team confirms another arrangement in writing.
3. Abstract submission and acceptance
Abstract submission is separate from registration. Abstracts may be reviewed for relevance, quality, clarity and programme suitability. Acceptance of an abstract does not itself constitute payment or registration, and registration does not guarantee acceptance of an abstract.
4. Fees and payments
Participants are responsible for the applicable registration fee and any selected add-ons, accommodation, gala, publication or other optional services shown during registration. Bank, card, exchange-rate or intermediary charges imposed by third parties remain the participant's responsibility.
5. Invoices and receipts
Where requested, invoices or receipts may be issued using the billing details supplied by the participant or payer. Participants should provide accurate legal name, institution or company name, billing address and any other information required for the document.
6. Cancellations and refunds
Cancellation and refund eligibility is determined by the applicable registration conditions and any published cancellation or refund policy. Requests should be made in writing. Non-refundable third-party costs already incurred on a participant's behalf may be excluded where permitted by law.
7. Substitutions
A registered participant may request substitution with another suitable person where operationally possible. Substitution requests should be made in writing before the event and may require updated participant and presentation details.
8. Programme changes
The organising team may adjust session times, room allocations, speakers, presentation order, themes or programme structure when reasonably necessary. Such changes are a normal part of conference delivery and do not automatically create a right to a refund.
9. Venue changes
The conference location is Singapore. The exact hotel or meeting venue may be updated during planning. If a material venue change becomes necessary, registered participants will be informed through appropriate conference communications.
10. Visa and invitation documentation
Where available, invitation or supporting documentation may be provided to eligible registered participants for visa or institutional purposes. Such documentation does not guarantee visa approval. Participants are responsible for submitting visa applications, meeting immigration requirements and allowing sufficient processing time.
11. Travel and accommodation
Unless explicitly included in a purchased package, travel, visa costs, insurance, local transport and accommodation are the participant's responsibility. Participants should avoid non-refundable travel commitments until they are comfortable with their arrangements and documentation.
12. Participant conduct
ECEAIDT 2027 is intended to provide a respectful, professional and inclusive environment. Harassment, discrimination, threats, unsafe behaviour, deliberate disruption, unauthorised commercial solicitation or misuse of participant information may result in removal from the event.
13. Photography, recording and media
Conference sessions and common areas may be photographed or recorded for legitimate event, archival or promotional purposes. Participants who have specific concerns should contact the organising team. Recording presentations by attendees may be restricted unless permission has been granted.
14. Intellectual property
Presenters retain responsibility for the rights to their presentation materials. Participants must respect copyright, confidential information and third-party intellectual-property rights.
15. Publication
Conference participation does not guarantee publication. Any publication opportunity is subject to separate editorial scope, review, ethical requirements and the terms of the relevant publisher or journal.
16. Liability
Participants remain responsible for their own travel decisions, belongings, devices, documents and personal arrangements. To the maximum extent permitted by law, Executive Congresses is not responsible for indirect or consequential losses arising from circumstances outside its reasonable control.
17. Force majeure
If circumstances beyond reasonable control affect the event, including severe weather, public-health restrictions, government action, venue unavailability, transport disruption, security incidents or other force-majeure events, the organising team may modify, postpone, relocate or otherwise adjust event delivery as reasonably necessary.
18. Privacy
Personal information is handled in accordance with the Privacy Policy.
19. Contact and dispute resolution
Participants should first raise registration, payment, cancellation or participation concerns in writing so that the organising team has an opportunity to review and respond. Contact: participation@executivecongresses.com.
