Participation Terms

These terms explain the conditions for attending or participating in ECAIDGDT 2027, including invitation-only eligibility review, proposal-first / confirmation-first participation, registrations, payments, cancellations, substitutions, conduct expectations, and legal notices.

Important: If a specific event page, proposal invitation, invoice, or written confirmation states different conditions such as deadlines, refund windows, benefits, access rules, or delegate category conditions, those event-specific terms apply for that event.

1. Scope & Acceptance

These Participation Terms apply to all delegates, speakers, sponsors, exhibitors, partners, and any person participating in an Executive Congresses event, including ECAIDGDT 2027.

By submitting a proposal, applying to attend, requesting an invitation, registering after confirmation, making payment, entering the venue, accessing online sessions, or otherwise participating, you agree to comply with these Terms, applicable laws, and any venue safety rules.

2. Invitation-only Eligibility & Confirmation

Executive Congresses operates a curated, invitation-only executive participation model. Attendance is not guaranteed by submitting an application, proposal, or expression of interest.

Participation may be limited by capacity, relevance to the event agenda, seniority, executive fit, safety considerations, and eligibility criteria.

Confirmation is issued only when you receive written acceptance or confirmation from Executive Congresses and, where applicable, your registration payment is successfully completed.

We reserve the right to decline, revoke, or cancel participation for legitimate reasons, including suspected fraud, policy violations, misrepresentation, safety concerns, or conduct inconsistent with the event’s executive format.

3. Registration Process

Registration is not open as a mass public process. If your participation is accepted, you may receive a registration link or invoice.

Registration is considered confirmed only after: (i) acceptance or confirmation is issued, and (ii) full payment is received, unless otherwise stated in writing.

You are responsible for ensuring the accuracy of all information provided, including your name, affiliation, email, billing details, delegate category, add-ons, and any visa/travel-related information where applicable.

4. Fees, Payments & Taxes

Registration fees, optional add-ons, and optional services are shown on the event website and/or invoice.

Payments are processed via approved payment methods. If you use bank transfer or third-party services, any bank charges, intermediary fees, currency conversion costs, or taxes are your responsibility unless stated otherwise.

If your payment is incomplete due to bank deductions or processing charges, your registration may remain pending until the balance is settled.

5. Cancellations, Refunds & Credits

Cancellation and refund conditions may vary by event, delegate category, and booking type. Please check the event website, invoice, or acceptance/confirmation email for the applicable rules.

If an event-specific refund policy is not published, then unless required by law, confirmed registrations may be treated as non-refundable because event commitments and costs begin immediately.

In some cases, at our discretion, we may offer a credit toward a future event instead of a refund. Credits are not cash-equivalent and may carry an expiry date or usage conditions.

6. Substitutions & Name Changes

Substitutions may be permitted up to a reasonable time before the event, subject to security, administrative, and badge-printing requirements.

Any substitute attendee must satisfy the same executive relevance and eligibility criteria as the original attendee.

To request a substitution or name correction, email participation@executivecongresses.com with your registration reference and updated attendee details.

Substitutions do not automatically transfer optional services where third-party suppliers treat them as non-transferable.

7. Program / Speaker / Venue Changes

Program content, speakers, schedules, venues, formats, and session structures may change for operational, quality, or safety reasons.

We may replace speakers, adjust time blocks, modify participation formats, or update venue details to maintain event quality and executive relevance.

8. Visas & Travel

Visa issuance is solely the responsibility of the participant and the relevant authorities. An invitation letter, if issued, does not guarantee visa approval.

We are not responsible for costs incurred due to visa delays, visa refusal, travel disruption, or accommodation changes. Flexible travel planning is strongly recommended where possible.

9. Code of Conduct

Executive Congresses is committed to providing a professional, respectful, and harassment-free environment for all participants.

Harassment, intimidation, discrimination, disruption, abusive behavior, unsafe conduct, or conduct inconsistent with the event’s executive format is not tolerated.

We may remove any participant from an event without refund, where permitted by law, if we reasonably determine that they violated this policy or created a risk to others.

10. Photography, Audio & Video

Events may be photographed or recorded for event operations, safety, archival, training, and marketing purposes.

By attending, you consent to the use of your image, voice, and likeness captured during the event, unless prohibited by law.

If you do not wish to be photographed or recorded, please notify our team at check-in. We will take reasonable steps to accommodate, although exclusion from all background captures in public areas cannot be guaranteed.

Unauthorized recording of sessions may be restricted. Please follow all signage and staff instructions.

11. Liability & Disclaimers

Participation is at your own risk. To the maximum extent permitted by law, Executive Congresses is not liable for indirect, incidental, or consequential losses including loss of profit, business interruption, or data loss.

We are not responsible for personal belongings. Participants should keep valuables secure at all times.

Content presented by speakers remains their responsibility. We do not warrant completeness, accuracy, or fitness for purpose of event content or materials.

12. Force Majeure

We are not responsible for failure or delay in performing obligations due to causes beyond reasonable control, including natural disasters, severe weather, public health emergencies, war, civil disturbance, strikes, government action, venue closure, or supplier failure.

In a force majeure situation, we may reschedule the event, change its format, or offer credits where feasible.

13. Privacy

We collect and process personal data for proposal handling, application review, registration, invoicing, event delivery, communications, safety, and related operations.

14. Governing Law

These Terms are governed by the applicable laws determined by Executive Congresses for the relevant event, unless local consumer laws require otherwise.

Any disputes should first be raised in writing with our team so that a practical resolution can be attempted.
