Participation Terms EECCTM 2027

These terms define the conditions for attending and participating in the 12th European Executive Congress on Clinical & Translational Medicine (EECCTM 2027), including eligibility review, confirmations, registrations, payments, cancellations, substitutions, conduct expectations, and legal notices.

1. Scope & Acceptance

These Participation Terms (“Terms”) apply to all delegates, speakers, sponsors, exhibitors, partners, and any person participating in the 12th European Executive Congress on Clinical & Translational Medicine (EECCTM 2027) (“Event”).

By submitting an application or proposal, registering, making payment, entering the venue, accessing online sessions, or otherwise participating, you agree to comply with these Terms, all applicable laws, and any venue safety rules.

2. Invitation-only Eligibility & Confirmation

EECCTM operates a curated, invitation-only participation model. Attendance is not guaranteed by submitting an application or proposal. Participation may be limited by capacity, fit with the Event agenda, safety considerations, and eligibility criteria.

Confirmation is issued only when you receive written acceptance/confirmation from Executive Congresses and (where applicable) your registration payment is successfully completed.

We reserve the right to decline, revoke, or cancel participation for legitimate reasons, including suspected fraud, policy violations, misrepresentation, or safety concerns.

3. Registration Process

If your participation is accepted, you may receive a registration link or invoice. Registration is considered confirmed only after: (i) acceptance/confirmation is issued, and (ii) full payment is received (unless otherwise stated in writing).

You are responsible for ensuring the accuracy of all details you provide (name, email, affiliation, billing details, category, add-ons, and travel/visa information where applicable).

4. Fees, Payments & Taxes

Registration fees, add-ons (e.g., gala dinner, accompanying person), and optional services (e.g., accommodation assistance, publication fee where applicable) are shown on the Event website and/or invoice.

Payments are processed via our approved payment methods. If you use bank transfer or third-party services, any bank charges, intermediary fees, currency conversion costs, or taxes are your responsibility unless stated otherwise.

If your payment is incomplete due to fees/charges deducted by intermediaries, your registration may remain pending until the balance is paid.

5. Cancellations, Refunds & Credits

Cancellation and refund rules can differ by Event, registration category, and booking type. Please check the Event website, invoice, or acceptance email for the refund schedule and deadlines (if published).

If an Event-specific policy is not published, then—unless required by applicable law—registrations may be treated as non-refundable once confirmed, because Event costs and commitments begin immediately.

In some cases, at our discretion, we may offer a credit toward a future Event in place of a refund. Credits are not cash-equivalent and may have an expiry date.

6. Substitutions & Name Changes

Substitutions (replacing a confirmed attendee with another person) may be permitted up to a reasonable time before the Event, subject to badge printing, security, and administrative requirements. The replacement attendee must satisfy eligibility requirements.

To request a substitution or name correction, email participation@executivecongresses.com with your registration reference and the new attendee details.

Substitutions do not automatically transfer optional services (e.g., accommodation assistance) if vendors treat them as non-transferable.

7. Program / Speaker / Venue Changes

Program content, speakers, session formats, dates, times, venues, or online platforms may change due to operational, quality, or safety reasons. We aim to keep Event information accurate and up to date on the Event website.

We may record sessions, adjust schedules, replace speakers, or modify session formats to maintain Event quality.

8. Visas & Travel

Visa issuance is solely the responsibility of the participant and the relevant authorities. An invitation letter (if provided) does not guarantee visa approval.

We are not responsible for costs incurred due to visa delays/denial, travel disruptions, or accommodation changes. We strongly recommend booking flexible travel arrangements where possible.

9. Code of Conduct

Executive Congresses is committed to providing a professional, respectful, and harassment-free environment for all participants. Disruptive behavior, harassment, discrimination, intimidation, or unsafe conduct is not tolerated.

We may remove any participant from an Event without refund (where permitted by law) if we reasonably determine they have violated this policy or created a risk to others.

10. Photography, Audio & Video

Events may be photographed or recorded for Event operations, safety, training, marketing, and archival purposes. By attending, you consent to the use of your image, voice, and likeness captured during the Event, unless prohibited by law.

If you do not wish to be photographed or recorded, please notify our team at check-in. We will take reasonable steps to accommodate, though we cannot guarantee exclusion from all background captures in public areas.

Unauthorized recording of sessions may be restricted. Please follow signage and staff instructions.

11. Liability & Disclaimers

Participation is at your own risk. To the maximum extent permitted by law, Executive Congresses is not liable for any indirect, incidental, or consequential loss, including loss of profit, business interruption, or data loss.

We are not responsible for personal belongings. Please keep valuables secure at all times.

Content presented by speakers is their own responsibility. We do not warrant completeness, accuracy, or fitness for any purpose of Event content or materials.

12. Force Majeure

We are not responsible for failure or delay in performing obligations due to causes beyond reasonable control, including natural disasters, severe weather, public health emergencies, war, civil disturbance, strikes, government actions, venue closures, or failure of suppliers (“Force Majeure”).

In a Force Majeure situation, we may reschedule the Event, change the format (e.g., hybrid/online), or offer credits where feasible.

13. Privacy

We collect and process personal information for proposal/application handling, registration, Event delivery, communications, invoicing, safety, and related operations. For details on how we use and protect data, please review our Privacy Policy.

14. Governing Law

These Terms are governed by the applicable laws determined by Executive Congresses for the Event, unless local consumer laws require otherwise. Any disputes should first be raised in writing to our team for resolution.
